Welcome to HireX ("Company," "we," "us," or "our"). We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit hirexhq.com or engage with our services.

This policy applies to both our B2B Clients seeking engineering talent and the software engineers whose profiles and public code repositories are analyzed by our platform.

1. Information We Collect

A. Information You Provide

  • Client Account Data: Names, business emails, company info, job descriptions, tech stack requirements, and billing information.
  • Candidate Application Data: Names, email addresses, location data, and links to professional profiles (GitHub, StackOverflow, LinkedIn).
  • Audio/Visual Data: Video and audio recordings from async Loom walkthroughs submitted as part of our communication checks.

B. Automated AI Analysis (Public Sources)

  • Code Repository Data: Public commit history, PR reviews, code complexity metrics, and architectural patterns from GitHub.
  • Public Contributions: Activity on developer forums (e.g., StackOverflow) to assess problem-solving and domain expertise.

We do not access private repositories without explicit OAuth authorization from the Candidate.

C. Automatically Collected

When you visit our website, we automatically collect device and usage data via cookies and similar technologies: IP addresses, browser types, operating systems, referring URLs, and interaction data.

2. How We Use Your Information

  • Service Delivery: Generating Evidence Reports by cross-referencing Candidate code history with Client job requirements.
  • AI Processing & Matching: Using our Vector Matching Engine to calculate match probabilities, code velocity, and architectural complexity.
  • Communication: Sending platform updates, match notifications, interview requests, and administrative messages.
  • Service Improvement: Training and refining AI algorithms to improve match accuracy and fraud detection.
  • Legal & Security: Preventing fraudulent activity, securing our platform, and complying with legal obligations.

3. Automated Decision-Making and AI Profiling

HireX uses AI to evaluate Candidate suitability based on code commits rather than traditional resumes.

  • For Clients: We provide AI-generated Evidence Reports to assist in hiring decisions.
  • For Candidates: Our AI evaluates your public technical footprint. We do not use fully automated decision-making without human oversight. Candidates are subject to manual review by senior engineers for critical placements.

4. How We Share Your Information

We do not sell your Personal Information. We may share it in these circumstances:

  • With Clients: Candidate Evidence Reports, public code metrics, and video walkthroughs shared with prospective B2B Clients.
  • With Service Providers: Third-party vendors for hosting (Vercel, AWS), AI processing (OpenAI API), email delivery, and analytics.
  • Business Transfers: In the event of a merger, acquisition, or asset sale.
  • Legal Requirements: If required by law or in response to valid public authority requests.

5. International Data Transfers

HireX operates globally. Information may be transferred to and processed in the United States or other countries. For EEA/UK users, we ensure appropriate safeguards (such as Standard Contractual Clauses) are in place.

6. Your Privacy Rights (GDPR, CCPA/CPRA)

Depending on your location, you may have these rights:

  • Right to Access: Request a copy of the Personal Information we hold, including Evidence Report data.
  • Right to Rectification: Request correction of inaccurate or incomplete information.
  • Right to Erasure: Request deletion of your Personal Information from our active databases.
  • Right to Restrict/Object: Object to processing, including AI profiling.
  • Right to Data Portability: Request your data in a structured, machine-readable format.
